Team Members

Written by Bobby Gibson

The Settings > Team Members page is where you add new team members, manage existing users, or manage your profile settings.

Team Members

Team Members are the members of your team who have access to the Offset platform including Offset Commerce, Offset POS, and Offset CMS.

IMPORTANT: Your team is responsible for adding and removing users as well as managing permissions. When team members are no longer part of your company, be sure to remove them.

Roles and Permissions

  • Accounting - Full access to Offset Commerce, CMS, and POS

  • Standard - Full access to Offset Commerce (except Salesperson Performance report,) CMS, and POS

  • Administrator - In addition to full standard access, also able to add new users adjust user roles, and manage API keys

  • Content Editor - Access limited to the CMS app, where website content such as text and images can be edited and managed.

  • Point Of Sale - Access limited to the Offset POS iOS app

Add a new team member:

  1. Select the +New Team Member button

  2. Enter First & Last Name

  3. Enter their Email

  4. Choose the appropriate user Role

  5. Select Add Team Member

NOTE: When deciding which user role to choose, make the decision based on their role within your company. Future features will be coming soon coming soon that will grant or restrict specific system areas for each role.

When the user clicks on the suggested link, it will open a Welcome page where they can Choose a Password and select the Sign Up button to complete their account registration. NOTE: Invited admins will not appear on the Users page until they:

  1. Click the link in the invitation email.

  2. Create a password.

  3. Activate their admin account. The admin listing is triggered only after completing these steps, not when the invitation is sent.

NOTE: If you add a user and they already have an account associated with their email address, they will simply be added to the Team Access list; otherwise they will receive an invite email to complete registration.

Troubleshooting Invitation Issues

Invitation Emails Failing to Send

Invitation emails may fail to send if the recipient’s email address is bouncing. To resolve this:

  • Share the direct invite link with the recipient so they can sign up immediately.

  • Ask the recipient to whitelist the company’s email domain in their email system to prevent future delivery issues.

Invite Emails Not Found

If the recipient cannot find the invite email:

  • Confirm that the email was sent from the company’s designated email address (e.g., accounts@offsetpartners.com).

  • Instruct the recipient to search for the email address in their inbox and check spam or junk folders.

Editing Registered Users

Registered members will appear on the Team Members page under - Your Winery Name Team Members. If you need to make changes to an account such as their user role or remove the account, start by selecting the Edit User button next to their name.

You can edit the user role by selecting the dropdown, choosing a new role, and selecting the Update button. Or select the Remove User button to remove the account.

Editing Your Profile

To Edit your profile, while in Team Members, select the Your Profile tab. Here you can update your name, password, and you can also set up Two-Factor Authentication (2FA) which we highly recommend for account security.

Set Up Two-Factor Authentication (2FA)

Two-Factor Authentication (2FA) adds a second layer of security to your Offset account. Once it's turned on, signing in requires your password plus a verification code. This protects your company and customer data if a password is ever compromised or a device is lost or stolen.

IMPORTANT: We highly recommend that every team member turn on 2FA. Each team member sets up 2FA on their own profile, so Administrators should encourage their whole team to complete this step after they first sign in.

You can receive your verification code by text message or through an authenticator app. You only need to set up one method.

Option 1: Text Message (SMS)

  1. Go to Settings > Team Members and select the Your Profile tab.

  2. Turn on Two-Factor Authentication, then choose SMS CODE as the Authetication Method.

  3. Enter your mobile phone number, without spaces, dashes, or special characters.

  4. Select Save Changes.

The next time you sign in, Offset will text a 2FA code to your phone. Enter that code to finish signing in.

NOTE: If you're in an area with poor cell reception, the text with your code may not reach your phone. If you often work somewhere with weak signal, the authenticator app is a more reliable choice.

Option 2: Authenticator App

An authenticator app generates codes on your phone without needing cell service. Common free options include Google Authenticator, Microsoft Authenticator, and Authy.

  1. Download an authenticator app on your phone from the App Store or Google Play.

  2. Go to Settings > Team Members and select the Your Profile tab.

  3. Turn on Two-Factor Authentication, then choose Authenticator App as the Authetication Method.

  4. Select Set Up Authenticator App.

  5. Open your authenticator app, add a new account, and scan the QR code shown on screen.

  6. Enter the code from your authenticator app to confirm setup.

  7. Select Verify when done.

The next time you sign in, open your authenticator app and enter the current code shown for Offset.
