Offset's club tools allow you to create and manage subscription services so you can curate wines for delivery or pickup on your regular schedule. You can create different clubs based on customer taste, themes, production, membership perks, etc. Once you've decided on your approach, you can add your clubs, configure your settings, and invite customers to join.

When it is time to process your clubs, you can add members to a batch and process, or create a custom club experience. To learn more about club batch processing or creating a custom club experience, click these links to view the help desk collections:

NOTE: If you do not currently have a wine club on your site and are looking to add clubs to your existing Offset account, please contact [email protected]. Our support team can discuss options for presenting clubs on your site and configure the necessary settings. If you are a new client, please reach out to your onboarding specialist for assistance.


Clubs Page Overview

Clubs (Tab)

When you navigate to the Clubs page, you will see all your Clubs. At the top of the page, you will see some summary statistics.

Active Memberships

This is the total number of active members across all your clubs. An "Active" membership is any member who is currently receiving shipments or is paused.

CLUBS

This is the total number of unique wine clubs you have created in Offset.

MOST POPULAR

The club name listed here has the highest total number of active members.


The table below has a list of each of your clubs, in sorted order, and displays some important information about each club.

ID

The ID is the unique numeric ID assigned to each Club when it is created. You can reference the ID number when making bulk changes, such as the Bulk Shipping Method Update or Bulk Move Members.

STATUS

The visibility STATUS will show as Active or Inactive on this page. If a club is set to Visible on website, it will show as Active. If it is set to Not visible on website it will show as Inactive.

CLUB

This is the Name of the specific club.

Resume Club Order (Button)

This button will only appear if there is an open club batch for the club. Click this button to resume your batch processing.

DISCOUNT

This is the specific Discount Rate set for any subsequent non-club order placed by or for a member of this club.

MEMBERS

This is a total of all the current, active members of the club.

REORDER

Reorder allows you to click and drag to change the display hierarchy of your clubs on a customer-facing club page. Clubs sorted to the top of the page will be the first in the order, and the bottom will be the last. If a club is Inactive, then the display will default to the next active club in the hierarchy.

NOTE: Club page display will vary significantly between brands. On the customer-facing club page, some only show a single club, some have a two-up, which shows clubs side by side from left to right, some have a three-up, and so on. The order will display from left to right and top to bottom.

Ellipsis Button (...)

Select the ellipses button for a dropdown of options. Clicking the links will send you to the Edit Club Details, View Club Members, New Club Order, or, if a club batch is already in progress, the final option will be Resume Club Order.


Clubs Actions Dropdown

Select the Actions dropdown to export or import club-related files.

Export All Members CSV

Select this option to download a CSV Export of all your "Active" Club members and the details about their membership in spreadsheet format. This can be used for reporting and also bulk updates or moves.

Bulk Shipping Method Update CSV

Select this option and upload your CSV to update the Shipping Method(s) for multiple club members using an import spreadsheet. Click here to view the detailed article.

Bulk Move Members CSV

Select this option to upload your CSV to move multiple members from one club to another using an import spreadsheet. Click here to view the detailed article.


Cancelled Clubs (Tab)

The Cancelled Clubs tab shows a list of all the cancelled memberships with a sortable table to rearrange the display in ascending or descending order.

CANCELLED MEMBERSHIPS

This displays the total number of cancelled memberships. A cancelled member is neither actively receiving shipments nor is their membership paused.

JOINED

This is the date that the member joined on the web or was added by an admin.

CANCELLED

This is the date that the customer's membership was cancelled, either by an admin or by the optional self-service option on the website.

CLUB

This is the name of the club assigned to the member.

CUSTOMER

This is the first and last name of the member.

REASON

This is the cancellation reason that was selected by an admin or by the optional self-service option on the website.

Ellipsis Button (...)

Select the ellipses to choose the "Delete" option for the club membership.

IMPORTANT: Deleting a club will permanently erase its membership from your site. It will no longer exist in a customer's profile or your exportable reports. We recommend only deleting clubs added by error or fraud so you can retain your historical data on cancellations.

Export (Button)

Select the export button to view a CSV export of all your cancelled club members and their details.


Adding or Editing a Club

Add a new Club

Once you have decided on your approach, you will want to add a separate club for the individual tier or variation. For example, if you have an "All Reds" and "Mixed" club, you will add one for each. If you have an "All Reds - 6 Bottle" and "All Reds - 12 Bottle," you will need to add a separate Club for each one. This will allow customers to sign up for different tiers based on interest, and you can configure separate processing batches for each one.

Whether you are just starting a new wine club or adding a new club level, the first step is to add a new club. Start by selecting the + New Club button.

On the pop-up modal, type the name of your club in the Name of Club field. This is the name that will display on your Club signup page, the Club Sign Up Welcome (Sent after signing up for a club) transactional email, and the customer's account login page after they join. Click the Create button when you are ready to proceed to the next step. Select the Actions dropdown and choose Edit Club Details to enter the detailed information about your club.

Editing an Existing Club

To edit an existing club, click on the ellipsis to the right of your club and select Edit Club Details to make changes.

Club Details

Actions Dropdown (Delete Club)

Select the actions button, and you will see the option to Delete Club. Select this option to delete an unwanted wine club. Do this with great care, as members will be unlinked from the club and all club-related records will be removed from accounts, reports, etc. THERE IS NO UNDO.

Status

Status sets your visibility preference for the specific club. Selecting Visible on Website, the Club will add the Club to your website page, and prospective customers can select the option to join online. Choosing Not visible on website means the Club will not appear on your customer-facing Clubs page, but you can still add new members as an admin at your discretion. Options appear on the main Clubs page with a STATUS of Active or Inactive.

Name

This is where you enter the name of your club. This is the name that will display on your Club signup page, the Club Sign Up Welcome (Sent after signing up for a club) transactional email, and the customer's account login page after they join. We recommend that it is brief but descriptive. For example, "Cabernet Club - 6 Bottles"

Website Description

In this field, describe your club and entice people to join. This description appears on your website club page. For example, "This club for collectors and connoisseurs alike. Enjoy the best Single-Vineyard and Reserve wines Offset has to offer."

Website Benefits

This is where you can describe the benefits of joining the club so prospective members understand the perks of being a member. These benefits are displayed on the website and account pages. For example:

4 Shipments per year

6 bottles per shipment

20% Discount on all shipments

15% Discount on Tasting Room and Website orders

Complimentary Tastings at the winery for up to 4 guests

Price Range

This is the cost or average cost of each shipment and will appear on the website. For example, "$200-$300 annual cost with member pricing applied (not including tax and shipping)."

Thank You Message

This is the confirmation message that appears on screen after somebody completes a club sign-up form. They will also receive a separate email confirmation from your Transactional Emails. For example, "We welcome you to the Offset Family and look forward to sharing our wines with you soon. - The Offset Team"

Subsequent Non-Club Order Discounts

Discount Rate

Entering a Discount Rate gives customers in the club an automatic discount on their order subtotal when they shop on the website, or when you process an admin order. Enter the whole number without any special characters like %. For example, "15" would be a 15% discount.

Shipping Included

If you would like customers in this club to be eligible for shipping-included pricing on any subsequent non-club order, then toggle the Qualifies for “Free Shipping” offers setting to on. You must also enable the Qualifies for “Free” Shipping Offers setting in the Fulfillment Method Details so the system knows which method to offer for free.

IMPORTANT: The Subsequent Non-Club Order Discounts DO NOT apply to club batch orders; they are for discounts on orders outside of club batch processing, like admin or open cart orders. You can manually assign the discount when you configure the Club Batch. Click here for instructions on Creating a New Club Batch Order.

Groups customer is added to upon successful Club Signup

Customer Group

Check the appropriate box or boxes to automatically add customers to a group or groups when they successfully join your club. Having customers in a group, as well as your club, can save you the work of adding new members to a specific marketing segment after they join. This is also a helpful step if you have a custom club where members can log in ahead of processing and customize their shipments.

You must create your group(s) before you can select groups within the club. For example, you may want to add a standard group called "New Signups" and select the box so that your customers can be added to a group for new customer email marketing. Or if you have a "Syrah Club," you may want to create an allocation group called "Syrah Club" with the same name and select the box so you can add them to a custom club offer. You could also select the boxes for each group, and customers would be added to both groups upon signup.

NOTE: Checking the box(es) under Customer Group in the Groups customer is added to upon successful Club Signup will "add" people to the selected groups. This does not change their existing group assignments.


View Club Members

When you select the ellipses button next to a club in your list, you can choose to View Club Members.

On the View Club Members page, you will see a summary of the MEMBERS, CLUB STATUS, and DISCOUNT percentage at the top of the page. Below is a sortable table of all the members in that particular club.

Select the Elipses (...) to the right of the member payment to Edit Order or Edit Member.

NOTE: You will only see the option to Edit Order and Edit Member when a club batch order has been created. You can still Edit Member details by selecting the name of the member on the list to view the member's information.


Edit Order

This feature allows you to edit a member's order once the club batch order has been created. You can edit the quantity, price, and discount, address, fulfillment method, etc. Once you make your changes, you can choose Save Cart for Later, and the changes will be saved for when you batch process the entire group, or you can choose Process Order Now, and the order will be placed with all your changes applied. Edit Member

When you choose to edit a member or select the customer name from the View Club Members page, you can make changes to the member's saved details.

NOTE: When editing details in a member's club, make sure to select Save.

At the top of the page, you will see a summary of the member's details

CLUB

The name of the club membership you are currently editing.

SIGNED UP

The date when the member joined the club.

LONGEVITY

The total time this member has been in the club in months.

MEMBERSHIP TYPE

Memberships are either a Personal Membership or a Gift Membership.

SALES AGENT

This is the name of the sales agent who gets credit for signing up the member.

LAST UPDATED

This is the date and time of the last update to this member's club.

Membership Information

Club

Use the dropdown selector to change which club a member is assigned to. This is typically used when a member was assigned to the incorrect club, and you want to reassign them to the correct club.

NOTE: Any changes to an existing membership will overwrite the existing club name, but the other information, such as longevity, stays as is. When you export reports, it will only show the current membership name, but not their previous assignment. To better track the longevity of a member in a specific club, we recommend cancelling the current club, selecting your reason, such as "changed clubs," and adding a new membership to the customer's account.

Sign Up Source

You can track the source of a customer's signup. The default options are Web, Tasting Room and Phone.

Gift Membership

Was this membership a gift from another customer? You can choose Yes or No. New memberships default to No.

Sales Agent

Choose from your list of sales agents to assign credit for the membership signup.

Referral

This is a free-form field where you can type the name of who referred the member.

Club Shipping Details

Delivery Preference

Choose from Shipping or Pickup depending on the customer's preference. Choosing Pickup will only display pickup options in the Fulfillment Method dropdown and limit the Deliver Address selection.

Delivery Address

This is the address where your club batch order will ship to by default. Choose Shipping in the Delivery Preference dropdown, and you can choose from a list of saved customer addresses or select the New Delivery Address button to add an address to the customer account.

Fulfillment Method

This is the default Shipping Method for all the customers' club batch orders. Use this field to select a customer's preferred method if it is different from your default. For example, if you typically send your club orders via UPS and the customer prefers FedEx, you can set this field to ensure that the orders will ship with a FedEx method. If there is no customer or admin selection, this will automatically set to "Default Club Method," and the admin can choose the default for the batch during processing.

NOTE: Any changes made to Payment, Delivery Address, or Fulfillment Method will carry over to current open and future club orders.

Club Billing Details

Payment

Select the card that your member wants to use to pay for their club orders. This can be different from their default card or other cards saved in their profile.

Club Admin Notes

Enter an admin note to add important information about a customer's shipment. This note appears at the top of the membership details page. This note may be seen by customers. For example, if this note is present when you process their club batch order, it will populate the Special Instructions field of a completed order. The Special Instructions are visible on order confirmations, receipts, and are sent through to fulfillment. If you do not want to send the note as special instructions, delete it from the order before processing the batch. You can also see who has order notes by looking for a yellow Notes label in the club batch and the View Club Members pages.

Customer

You will see the Name, Email, and Phone number for the club member. Click the View button to go to a member's customer profile. Select Edit Open Club Order to edit the member's current open club batch order.

Pause Membership Until

Enter a date into the date selector to pause a membership until a specific date. Any membership that is paused before the batch is created will move the club batch order to the Excluded tab. Actions (Cancel Membership)

When editing a membership, select Actions > Cancel Membership to cancel a member. Next, on the pop-up modal, you can Select a cancellation reason... from the dropdown and click the Cancel this Membership button to complete the process. You can edit your cancellation reasons on the Settings > Configurations page. Click here for a link to our help desk article.

IMPORTANT: Cancelling does not automatically remove members from groups. If you have selected the Groups customer is added to upon successful Club Signup option for new club signups, you will need to remove them from the group manually in their customer profile under Groups & Segments.
